Summary
This is a highly strategic and facilitative role that requires a combination of focus, critical thinking, and flexibility to strategize and plan for Propelled Brand’s current and future success.  They act as an extension of the CEO in the operation of daily affairs on a diverse range of work scopes including but not limited to executive operations, organizational performance management, administrative assistant functions, and coordination and communication with the Board of Directors/Private Equity Ownership. This position is flexible, adaptive, and able to work with the CEO and other stakeholders to identify evolutions in the role and highest priority areas of impact and execution.  They bring an agile mindset and are comfortable with constant change and successfully managing competing priorities. They are comfortable being an extension of the CEO and understand this will, at times, include personal errands and calls.

Responsibilities:
  • Act as the right hand and primary point of contact for the CEO, assisting in the facilitation of strategic initiatives and ensuring alignment with overall business goals.
  • Leverages the CEOs time by coordinating and managing their agenda, calendar, email, and other correspondence ensuring effective time management and prioritization of tasks. Takes the initiative to prepare the CEO, in advance of these events, without prompting.
  • Oversee strategic business initiatives from development through successful execution under the guidance of the CEO.
  • Attends meetings, takes comprehensive notes, and ensures follow-ups are completed in a timely manner and maintains confidentiality.
  • Arranges corporate travel and meetings by developing itineraries and agendas, booking transportation, arranging lodging and meeting accommodations; will also complete and process expense reports.
  • Responds to internal and external company contacts regarding the CEO, the company's operations, etc., as if they were acting in the stead of the CEO.
  • Collaborates with other executives to ensure operational excellence across the organization.
  • Assist in the management of company-wide projects, ensuring they are completed on time and within budget by tracking project timelines and milestones.
  • Provide decision-making support to the CEO on a variety of issues, including but not limited to operational strategy, business planning, and organizational design.
  • Manages communication between the CEO and other executives, team members, and external partners, ensuring transparency and effective information flow.
  • Conduct research and gather information for executive-level projects, including creating reports, presentations, and other materials as needed.  
  • Design, edit, and produce visually appealing and impactful presentations, reports, and other materials using the Google Workspace software.
  • Draft and edit correspondence and other written materials as needed.
  • Manage confidential and sensitive information with discretion.
  • May provide administrative support to a few key leaders within the executive team, as needed.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Maintains a high level of service, even when directing inquiries away from the CEO to help better manage their calendar and activities.
  • Proven ability to keep a calm head under pressure, exercise judgment, and see beyond the day-to-day to anticipate changing needs of the business and the CEO.
  • Assist in managing the CEOs email, responding to emails as appropriate, forwarding them to others for follow up, or taking action on them while keeping the CEO informed
  • Perform personal tasks and run personal errands for the CEO as needed.
Travel
  • Overnight travel to conventions is required.  Travel is less than 20%.
Qualifications:
  • Minimum of 5 years in a similar role, preferably within a fast-paced, entrepreneurial, growth oriented environment.
  • Bachelor's degree in Business Administration, Management, or related field. Master's degree preferred.
  • Proficient in Microsoft Office Suite or Google Workspace (we use Google Workspace and it is generally similar to the Microsoft Office Suite.
  • Ability to manage multiple projects and work well with others.
  • Excellent written and verbal communication skills.
  • Strong critical thinking and problem-solving skills.
  • Ability to multitask and handle complex, concurrent projects.
  • Self-motivated, energetic and adaptable; open to wearing multiple hats within a flexible growth oriented environment
  • The ideal candidate will have a strong background in business operations, strategy, and management.

Compensation: $80,000.00 - $90,000.00 per year
